Recurring meetings

Schedule recurring video meetings from your calendar

Meeto repeats a video meeting every day, every weekday, weekly, every two weeks, monthly, yearly or on a custom rule, and every date uses the same room link. You set it up from the Week view of your calendar, see which dates clash with time you already have, and invite guests who get one calendar invitation and reminder emails before each meeting.

How do you schedule a recurring meeting in Meeto?

Press an empty half hour in the Week view of your Meeto calendar. A small window opens beside that slot with everything the series needs, so you never leave the calendar.

  1. Open Meetings and switch to Week. Sign in at meeto.me/app and press the time you want on any day. On a phone-sized screen the window opens as a sheet from the bottom.
  2. Name the meeting and choose its length. Type a title, check the date and time, and pick 30, 45, 60, 90 or 120 minutes. Pressing another slot on the grid moves the meeting and keeps what you typed.
  3. Choose how it repeats. The repeat menu offers rules built from the date you picked, such as "Every week on Wednesday", plus Custom… for anything else.
  4. Choose when it ends. No end, on a date, or after a number of meetings. The window counts the meetings and names the last date before you save.
  5. Add guests and press Schedule. Type email addresses, choose their reminder emails, and Meeto sends the invitations. Guests do not need an account to join.

While the window is open, the calendar draws the upcoming dates of the draft series, so you can see the pattern across the weeks before anything is sent. You can also create a repeating meeting from the New meeting menu in your account or in the iPhone and Android apps.

Which repeat rules can a series use?

Any rule a calendar can express, from a daily stand-up to a yearly review. The common ones are one click away; Custom… covers the rest.

Repeat options in Meeto
OptionWhat it does
Every dayOne meeting each day at the same time
Every weekday (Mon–Fri)Monday to Friday, offered when the first meeting falls on a weekday
Every weekThe same weekday every week
Every 2 weeksThe same weekday every other week
Every monthOn the same day of the month, or on the same weekday such as the second Tuesday or the last Friday
Every yearOn the same date every year
Custom…Every 1 to 99 days, weeks, months or years, several weekdays at once, and for monthly rules the date, the weekday such as the third Thursday, or the last day of the month

For a first meeting on the last day of a month, such as the 31st, the monthly option repeats on the last day of each month, so shorter months are not skipped. The repeat follows the time zone the meeting was set in, so a 9:00 meeting stays at 9:00 there across daylight-saving changes.

When does the series end?

No end

The series repeats until you end it. You can end it later from any date with "End the series with this meeting".

On a date

The last meeting falls on or before the date you pick. A new series suggests a date 3 months after the first meeting.

After a number of meetings

From 2 to 730 meetings, 10 by default. The window shows the count and the date of the last one.

Does Meeto warn about clashes before the invitations go out?

Yes. While you set up the series, the dates that land on time you already have are marked on the calendar and named in the window, before any guest is invited.

Meeto checks your other Meeto meetings and the events of the calendars you connected. Events show with their titles, for example "Thu, Nov 12 overlaps “Design review”, 10:00–11:00"; a calendar that shares only free and busy time shows as busy time. When several dates clash, the window says how many and which days. You can still schedule the series and then cancel just the dates that clash.

Connect Google Calendar or an Apple or CalDAV calendar in your account to include those events. Outlook calendars cannot be connected.

How do you change one date or the whole series?

Press any meeting of the series in the Week view. A panel opens beside the calendar with the rule, Join and the room link, the next meeting, how many meetings there are and until when, the guests and their answers, and the guests' reminder emails, which you can change right there.

  • Every date in one list. The last few held meetings sit above a Today line; the upcoming ones follow, with the next and the last marked. A date that overlaps other time says what it overlaps.
  • Move one date. Choose Move this date… to open that meeting and give it another time. It stays linked to the series and keeps the same room.
  • Cancel one date. Choose Cancel this date. Guests get a cancellation for that date only, and the other dates stay.
  • Extend a series that ends. Extend 4 weeks moves the end later by the rule's own dates, so a monthly series gains its next month. A week before the last meeting the panel says so and offers Extend 6 weeks. Guests get one update with the new end.
  • Change one date or the whole series. When you edit a date you choose This event only or All events in the series, and you can end the series at any meeting with End the series with this meeting. The room link stays the same.

Plans and limits for recurring meetings

Recurring meetings are part of every plan. The plan sets what each meeting of the series can do; see pricing for the full comparison and free video meetings for the Free call limits.

Recurring meeting limits
LimitValue
Repeat intervalEvery 1 to 99 days, weeks, months or years
Meetings in a counted series2 to 730
Last possible dateUp to the year 2100
Email guests per meetingUp to 10 on Free, up to 25 on Pro and Team
Guest emails on Free100 a month; reminder emails do not count toward it
Reminder emails1 day, 1 hour or 15 minutes before each meeting, up to 2 per meeting
Call length60 minutes on Free once two or more people are in the call; no time limit on Pro and Team

Who it is not for: Meeto has no webinars, breakout rooms or meetings above 25 participants, so a large weekly all-hands needs another tool. If people should choose a time themselves, publish an online booking page instead of sending a series.

Frequently asked questions

Are recurring meetings free in Meeto?

Yes. Repeat rules, the series panel and guest reminder emails work on the Free plan. Free limits still apply to each meeting: calls stop after 60 minutes once two or more people are in them, up to 10 participants, and up to 10 email guests per meeting with 100 guest emails a month. Pro removes the time limit and allows up to 25 guests.

Does a recurring meeting keep the same link?

Yes. Every date of a series opens the same Meeto room, so guests can keep one link. Moving one date or editing the whole series keeps that room too.

Can I change only one meeting of a series?

Yes. Open the date in the series panel and choose Move this date to give it another time, or Cancel this date to remove it. Guests get an update or a cancellation for that date only, and the other dates stay as they were.

Which calendars does Meeto check for clashes?

Your other Meeto meetings and the calendars you have connected: Google Calendar and Apple or CalDAV calendars. Events show with their titles; a calendar that shares only free and busy time shows as Busy. The Free plan connects 1 calendar, Pro up to 5.

What do guests receive for a recurring meeting?

One calendar invitation that carries the whole repeat rule, so it adds every date to their calendar at once, with a single answer for the series. Before each meeting they can also get reminder emails, by default 1 hour before, with a link to stop them.
