Round-robin scheduling
Round-robin scheduling with one team booking link
A Meeto team link at meeto.me/t/… lets a guest book a video meeting with whoever on your team is free. The guest sees the combined free time of everyone in the rotation, and each booking goes to the teammate who was booked least recently among those free at that time. Round-robin links are part of the Team plan.
How does Meeto decide who takes a booking?
Among the teammates who are free at the time the guest picked, the one booked least recently takes the meeting. Teammates who have never been booked go first.
- Combined free time. A time shows on the team link while at least one teammate in the rotation is free then.
- Each person's own availability. Every teammate's working hours, connected calendars, existing bookings, buffers, minimum notice, daily limit and time off are respected, as on their personal booking page.
- No double booking. If the first choice is taken a moment before, the next free teammate gets the meeting; if nobody is free any more, the guest is asked to pick another time.
There are no weights or priorities: the rotation balances by who was booked least recently. Each teammate sets their own hours under Availability and connects their own Google or Apple calendar, which a workspace admin cannot see.
How do you set up a round-robin link?
- Create a Team workspace and invite your colleagues. Owners and admins manage team links; members can copy them.
- Open Round robin and choose New team meeting type. Give it a name, an optional description for guests, and a length: 15, 30, 45 or 60 minutes, or a custom 5 to 240 minutes.
- Choose who is in rotation. Everyone active joins at first; tap a teammate to add or remove them. At least one host must stay in rotation, and people who join the workspace later are added automatically.
- Share the link. Copy the meeto.me/t/… link to your website, email signature or chat. It never changes unless you regenerate it.
What does the guest see?
A normal booking page with your workspace name, the meeting's title, description and length, and the free times in the guest's time zone.
Book
The guest picks a time, enters a name, an email and what the meeting is about, and presses Schedule meeting. No account is needed.
Confirmation
An email from the assigned teammate via Meeto with the join link, a calendar file and an add-to-Google-Calendar link, plus links to reschedule or cancel.
Reminder and call
A reminder email 60 minutes before, then the call in the browser. Each booking gets its own room, protected by a password already inside the link.
Rescheduling keeps the same teammate. If a team link has no host in rotation or the workspace is not paid, guests see "This team isn't taking bookings right now", and meetings already booked still happen.
What does the team see?
- The assigned teammate gets a New booking email (a reply goes to the guest), a notification in the browser or the app, and the event in their connected calendar.
- Owners and admins see every booking from team links under Bookings, with the assigned host, and how many meetings each link brought in the last 30 days.
- Your own systems can receive each booking through workspace webhooks, with the assigned member as the host; see the developer documentation.
What round-robin links do not do
| Question | Answer |
|---|---|
| Plan | Team ($11.99/seat/month or $119/seat/year), live after the first payment |
| Meeting length | 5 to 240 minutes |
| Assignment | The least recently booked teammate who is free; no weights |
| Collective meetings with the whole team | Not available |
| Custom booking questions or extra guests | Not on team links; available on personal booking pages |
| Per-link buffers or booking window | Not on team links; each teammate's own settings apply |
For one person's schedule, a personal online booking page is enough and works on the Free plan. Compare plans on the pricing page.
Frequently asked questions
Which plan do round-robin links need?
Team, at $11.99 per seat a month or $119 per seat a year. Team links go live after the workspace's first payment. Guests who book never pay and need no account.
Can a guest pick a specific person from the team?
Not on the team link: the rotation chooses who takes the meeting. To let guests book one person, share that person's own booking page instead.
Can every team member join the same booked meeting?
No. A team link books one host from the rotation; there are no collective meetings that need everyone free at once. The host can still invite colleagues into the call.
What happens to bookings when someone leaves the team?
When an admin deactivates a member, that person leaves every rotation and their upcoming team-link bookings are canceled, with an email to each guest. They are not moved to another host automatically.
Does the team link change if I rename the meeting type?
No. The link is generated once and stays the same through renames. Regenerate issues a new one only when you need it, for example if the link was shared where it should not be; the old link then stops working for good.
