Follow-up email template

Meeting follow-up email templates that confirm who does what

A meeting follow-up email turns a conversation into commitments: what was decided, who owns each next step, by when, and what is still open. Copy the client, sales or internal recap template below, send it the same day and ask for corrections. If the call ran in Meeto on Pro or Team, start from the AI summary's decisions and action items.

Put the decisions and next steps at the top; most readers stop after them. Replace every bracket, and delete a section rather than leaving it empty.

A short fourth case: when someone missed the meeting, write two lines — “Sorry we missed each other today. Would [time] or [time] work, or pick another slot here: [booking link]?” — and repeat the meeting's purpose in one sentence.

How do you write a follow-up people act on?

Be specific about owners and dates, send it quickly and keep it shorter than the meeting notes. A follow-up is a list of commitments, not a story of the meeting.

Use their words

Repeat the client's or buyer's own description of the problem. It shows you listened and avoids a debate about what was meant.

Owners and dates

Every next step gets one name and one date, including your own steps. “We will send the proposal” becomes “I will send the proposal by Friday”.

Ask for corrections

Invite the reader to correct anything, with a deadline. Silence after that is agreement, which protects both sides later.

Share only what is needed

Do not forward private meeting links, recordings or personal details to people who were not in the meeting. See the privacy guide before sharing captured calls.

Where Meeto helps with follow-ups

On Pro and Team, the Meeto AI summary gives you most of a follow-up: a short summary, key points, decisions and action items with who and what, plus the transcript to check a detail. On every plan, a booking page link gives the reader an easy way to set the next meeting.

  1. Start the summary with consent. The host starts the AI summary; everyone in the call sees a banner and an indicator. Choose whether only you or everyone in the call receives the result.
  2. Paste, then edit. Export the summary as Markdown or plain text into your email, or keep a PDF summary sheet. Add dates and owners that were agreed but not said aloud.
  3. Check before sending. AI can miss context or mislabel a speaker. Read the action items against the transcript, especially numbers, names and commitments.
  4. Share carefully. A share link to the recap can be switched off by its owner later. Send it only to people who were in the meeting.
  5. Offer the next slot. Add your booking page link so the reader picks the next call themselves.

AI summaries cover 10 hours a month on Pro, then a full transcript and a basic summary continue. They are written in the language most of the meeting was held in, and meeting content is not used to train AI models. If you also record, the media is kept 90 days and the summary until you delete it. The AI summary works in Meeto calls only; it does not join meetings on other platforms.

For bookings, Meeto can also follow up on its own: when a booked meeting is missed, the booker can get an email with a “Pick another time” button. It is a setting on each meeting type, on by default. Read more about the AI meeting summary, keep the longer record with the meeting minutes template, and see how freelancers run client calls with Meeto.

Frequently asked questions

How soon should I send a follow-up email after a meeting?

The same day for sales and client calls, and within 24 hours for internal meetings. A quick follow-up shows the meeting mattered and lets people correct a misunderstanding before work starts on it.

What should a meeting follow-up email include?

What was decided, who will do what and by when, any open questions, and the next meeting or next step. Leave out a blow-by-blow account of the discussion; link to fuller notes if people need them.

Should I attach the recording to a follow-up?

Only when everyone in the meeting expects it and the readers need it. A recording can contain more than the follow-up's readers should see. Share the short written summary by default, and send recordings only to the people who were in the call.

How do I follow up when the other person missed the meeting?

Keep it short and blame-free: say you missed them, offer two times or a booking link, and repeat the one thing the meeting was for. For meetings booked through a Meeto booking page, Meeto can send this follow-up for you.
