Recurring meetings and guest reminders in Meeto
Meeto now schedules recurring meetings straight from the calendar and emails reminders to the guests you invite. Press an empty slot in the Week view, choose how the meeting repeats and when the series ends, add guests by email and pick when they hear from you: a day, an hour or 15 minutes before. Both work on every plan, Free included.
What is new
A weekly one-to-one, a fortnightly client check-in or a monthly review used to mean scheduling the first meeting and then reminding everyone by hand. Since November 3, 2026, the whole series lives in the Meetings calendar of your Meeto dashboard, and every guest invited by email can get a reminder before each meeting with the link to join.
Repeat rules such as “every two weeks on Monday and Thursday” arrived in the scheduling form in October. This update brings the series into the calendar itself: you see every date before you commit, you manage the series without leaving the week you are looking at, and your guests no longer depend on remembering the invitation.
How do you set up a recurring meeting?
Open the calendar, press an empty half hour and fill in one small window. Everything a series needs is in it:
- Open Meetings in your dashboard and switch to the Week view.
- Press an empty slot. A window opens beside it with the title, date, start time and length — 30, 45, 60, 90 or 120 minutes.
- Choose how the meeting repeats: every day, every weekday, every week on that day, every two weeks, every month on that date or on that weekday (for example, the second Tuesday), or every year. Custom… opens a full rule for anything else.
- Choose when the series ends: never, on a date, or after a number of meetings, from 2 to 730.
- Add guests by email, choose their reminder emails and press Schedule.
Pressing another slot while the window is open moves the meeting there and keeps what you typed. On a narrow phone screen the same window opens from the bottom of the screen. If you would rather start from a form, scheduling a video meeting still works the usual way, and booking pages for people who pick their own time are covered on the online booking page overview.
Can you see clashes before guests are invited?
Yes. While the window is open, the Week view draws the dates of the new series on the grid. Dates that land on time you already have — another Meeto meeting, an event in a connected Google or Apple calendar, or a block marked as busy — are named in the window before a single invitation goes out. For a series with an end, the window also says how many meetings it will have and the date of the last one.
A clash does not stop you. Schedule the series, then cancel only the dates that do not work. The Google Calendar integration page explains how connected calendars share busy times with Meeto.
Manage the whole series from one panel
Press any meeting of a series in the Week view and a panel opens next to the calendar, so you keep your place. It shows:
- the repeat rule, the Join button with the meeting link, and the next meeting;
- how many meetings are left and until when the series runs;
- the guests and their answers;
- the guests' reminder emails, which you can change right there;
- every date: the latest past ones marked as held or canceled, with a link to the recap when the meeting had an AI summary, and the upcoming ones, each with its own menu to move or cancel that date.
Canceling one date leaves the others in place, and its guests get a cancellation for that date only. When a series with an end date is a week from its last meeting, the panel says so and offers to extend it by four or six weeks. From the meeting's own page you can also edit the whole series, or end it at a given meeting. Every meeting of a series uses the same link, so guests can keep one link for all of them.
What do guests receive?
Guests invited by email already receive an invitation with a calendar file, an answer button (“Yes, I'll join” or “Can't make it”, which applies to the whole series) and an email whenever the time changes or a meeting is canceled. Now they can also get a reminder before each meeting, at the times you choose: 1 day, 1 hour or 15 minutes before. You can pick up to two. A new meeting starts with one hour before, and you can switch reminders off completely.
Each reminder carries what a guest needs to join without searching their inbox:
- when the meeting starts, written in the organizer's time zone — a guest's own calendar shows it in theirs;
- for a series, its place in it, such as “Meeting 3 of 6 in this series” or “This is the last meeting of the series”;
- how the meeting repeats, who is in it, and a Join the call button with the link;
- a link to stop reminders for this series.
Guests join from that link in their browser, without an account or an app — the reasons are in why Meeto guests never need an account.
Reminders that respect the guest
One click on Stop reminders for this series opens a page that confirms the choice. The guest stays invited and the meetings stay in their calendar; only the reminders for that series stop, and the same page can turn them back on. The general unsubscribe link stays at the bottom of every email.
Meeto also checks each reminder again just before it is sent, and skips it when:
- the date was canceled or moved away;
- the guest was removed from the meeting or answered “Can't make it”;
- the guest received the invitation or an update in the previous two hours, which already had the join link;
- it can no longer arrive in time — a 15-minute reminder that would land as the meeting starts is dropped instead.
Which plans include recurring meetings and reminders?
| Question | Answer |
|---|---|
| Recurring meetings | Every plan, including Free |
| Reminder emails to guests | Every plan, including Free |
| Email guests per meeting | Free: up to 10 · Pro and Team: up to 25 |
| Guest emails on Free | 100 a month for invitations and updates; reminders do not count toward it |
| Account or app for guests | Not needed — guests join in the browser |
Call length still follows your plan: on Free a call stops after 60 minutes once two or more people are in it, while scheduled links stay reusable for the next meeting of the series. The pricing page has the full comparison.
Frequently asked questions
Do reminder emails use up the Free plan's guest emails?
No. Reminders go only to guests the meeting already invited, so they do not count toward the 100 guest emails a month on Free. Invitations, updates and cancellations still do.
What happens to a moved date when I cancel the whole series?
Canceling the series cancels its moved dates too, and every invited guest gets a cancellation. To stop a series from a certain date while keeping the earlier meetings, end the series at that meeting instead.
Can guests answer for a single date?
No. A guest's answer to an invitation applies to the whole series. A guest who cannot come to one date can simply skip it; one who answered “Can't make it” gets no reminders for the series.
Do guests need to install anything to join?
No. The Join the call button opens the meeting in a current desktop or mobile browser. Guests can also use the Meeto app on iPhone or Android if they already have it.
