Recurring meetings

How to set up a recurring meeting

In Meeto, open Meetings, click a free slot in the Week view, name the meeting and pick how it repeats: daily, every weekday, weekly, every two weeks, monthly, yearly or a custom rule. Choose when the series ends, add guests and select Schedule. Every date shares one meeting link, and you can move or cancel single dates later.

How do I create a meeting that repeats?

Create it once from the calendar and Meeto keeps every date. The quickest way is the Week view of your dashboard, where a click on the grid opens a small scheduling window next to the slot.

  1. Open Meetings and switch to Week. Sign in, select Meetings in the dashboard and choose Week. Click an empty half hour at the time you want; a New meeting window opens beside it. On a phone, or in the List view, select New meeting and then Schedule for later; the form has the same repeat field.
  2. Add a title and the first date. Type the name in Add a title, then check Date, Time and the duration: 30, 45, 60 or 90 minutes or 2 hours. The first meeting of the series is on this date.
  3. Pick a repeat. Open the field that reads Does not repeat. Besides Every day and, for a date on a working day, Every weekday (Mon–Fri), it offers weekly, every-two-weeks, monthly and yearly options built from your date, so a Wednesday offers Every week on Wednesday and Every month on the second Wednesday. Choose Custom… for anything else.
  4. Choose the end. Under Ends select No end, On a date or After and a number of meetings. With an end, the window shows a line such as “8 meetings · last on Wed, Dec 30”; without one it says Repeats until you end it.
  5. Add guests and schedule. Enter guest email addresses, check the Reminder emails to guests choices and select Schedule. Guests get one calendar invitation for the whole series with the meeting link. The series panel opens on the right so you can copy the link straight away.

If a date lands on time that is already taken in a connected calendar or by another Meeto meeting, the window says which date overlaps before you schedule. You can still create the series and cancel those dates afterwards. Connect a calendar with the Google Calendar integration to see that busy time.

Which repeat options are there?

The presets cover the common rhythms of team and client meetings. Custom… opens a Custom recurrence dialog for intervals such as every three weeks or several weekdays.

Repeat options for a scheduled meeting
OptionTypical use
Every dayA short daily check-in, including weekends.
Every weekday (Mon–Fri)A standup on working days. Offered when the first date is a weekday.
Every week on a dayA weekly team meeting or a regular client call.
Every 2 weeks on a dayA sprint review, retrospective or fortnightly one-to-one.
Every month on a date or weekdayA monthly review on, for example, day 14 or the second Wednesday.
Every year on a dateAn annual planning session or anniversary review.
Custom…Every N days, weeks, months or years, chosen weekdays and its own end: Never, Until or After.

When a monthly series starts on the last day of a month, Meeto offers on the last day, so it does not skip shorter months. A custom rule on the 31st says that months without that day are skipped.

How do I change or cancel one date?

Click any meeting of the series in the Week view to open its panel. It shows the repeat rule, the next date, how many dates are left, the guests' answers and their reminder emails.

Move or cancel one date

In the list of dates, open a date's menu and choose Move this date… or Cancel this date. Only that date changes; guests get a cancellation or an update for it.

Edit the series

Open the meeting and select Edit. Meeto asks whether the change applies to This event only or All events in the series.

Extend or end it

A week before the last date the panel says so and offers Extend 6 weeks. To stop early, choose End the series with this meeting in the repeat setting of the date where it should end, or cancel everything with Cancel all meetings in the series.

A moved date stays in the series and keeps the same link and guests. In the List view the series appears as one row with the next date and the dates left, so a daily standup does not fill the whole list.

What makes a recurring meeting work well?

  • Give it an end. A series that ends after a quarter gets reviewed; extending it takes one click.
  • Keep reminders short. One reminder an hour before suits most weekly meetings. See how to send meeting reminders for the options.
  • Mind the time zone. The series follows the zone it was scheduled in. Read scheduling across time zones before you set up a meeting for people in several countries.
  • Use a booking page for one-off appointments. If each client should pick their own time, a booking page is the better tool.

Frequently asked questions

Do recurring meetings need a paid plan?

No. You can schedule a recurring meeting on the Free plan. Free limits still apply to each meeting: up to 10 participants and 60 minutes once two or more people are in the call. A scheduled link stays reusable, so the next date of the series works as usual.

Does every meeting in the series use the same link?

Yes. The whole series shares one meeting link, including a date you moved on its own. Guests can keep the link from the first invitation, and the Join button in the series panel always opens the same room.

How many times can a meeting repeat?

A series can run with no end date, end on a date you choose or stop after a set number of meetings. With After, the number must be between 2 and 730. You can extend a series that ends without creating a new one.

What do guests receive for a recurring meeting?

Each guest gets one calendar invitation that describes the whole series and contains the meeting link. Their answer to Will you join? applies to the whole series. They also get reminder emails before each meeting at the times you chose, and they can stop those reminders for the series in one click.

Which time zone does a repeating meeting follow?

The series follows the time zone you scheduled it in, shown on the Meetings page as Times in. A meeting at 09:00 stays at 09:00 in that zone, including across daylight-saving changes. Guests' calendars show the time in their own zone.
