Meeting reminders
How to send meeting reminders to guests
When you schedule a meeting with guests in Meeto, choose Reminder emails to guests: 1 day, 1 hour or 15 minutes before, up to two of them. Every invited guest then gets an email before each meeting, with the join link and a one-click way to stop. Booked meetings use the Email reminder switch of the meeting type.
How do I send guests a reminder before a meeting?
Choose the reminder times when you schedule. Meeto then sends the emails on its own, before every meeting of a series as well as before a one-off meeting.
- Create the meeting. Sign in, open Meetings, switch to Week and click a free slot. A New meeting window opens. Add a title, check the date and time, and type your guests' email addresses.
- Choose the reminder times. Once a guest is added, the window shows Reminder emails to guests with three choices: 1 day before, 1 hour before and 15 min before. Pick up to two; 1 hour before is on for a new meeting. Turn all of them off and the window says Guests get no reminder emails.
- Schedule. Select Schedule. Guests get the invitation now and the reminders later. The meeting opens in a panel beside the calendar.
- Change them later. Click the meeting in the Week view. Its panel shows the same Reminder emails to guests choices; a change is saved at once with the message Reminders updated and sends nothing to guests.
Meetings scheduled from the Schedule for later form, in List view or on a phone, get the default reminder an hour before. Open them in the Week view to change it. For a series, see how to set up a recurring meeting.
Which reminders does Meeto send?
Meeto has three separate reminders. Each is set in a different place, because each is for a different person.
| Reminder | Who gets it and where to set it |
|---|---|
| Reminder emails to guests | Guests invited by email to a scheduled meeting. Set per meeting: 1 day, 1 hour or 15 minutes before, up to two. |
| Booking reminder | You, the person who booked and any extra guests, an hour before a booked meeting. Turn on Email reminder under Confirmation in the meeting type. |
| Your own reminder | You, as a browser or app notification, with an email if the notification does not get through. Set Remind before meetings in Settings → Notifications. |
The booking reminder belongs to your booking page. A booking made or moved less than two hours before its start gets no reminder email, because its confirmation, sent moments earlier, already holds the join link.
What does a guest reminder look like?
The subject reads like “Reminder: Weekly sync with Anna starts at 10:00”, or “Tomorrow: Weekly sync with Anna at 10:00” for a reminder sent the day before. The email repeats the essentials so the guest does not have to look for the invitation.
Where it sits in a series
A repeating meeting adds a line such as Meeting 3 of 6 in this series., or says that this is the last meeting of the series.
The details
When (in the organizer's time zone, with a note that the guest's calendar shows their own), how it repeats, who is invited and the link, with a Join the call button.
A way out
A line saying when the reminders come and a Stop reminders for this series link. Stopping reminders does not decline the meeting.
Guests join from the link in the browser, with no account or download. Send them the guide to joining without an account if it is their first Meeto call.
When does a guest get no reminder?
Before every email Meeto checks the meeting again, so a reminder never contradicts the latest change. No reminder goes out when:
- the date was cancelled or moved, or the whole meeting was deleted;
- the guest was removed, answered Can't make it or stopped reminders for the series;
- the guest received an invitation or an update less than two hours before the reminder;
- the reminder could not be delivered on time. A late reminder is dropped rather than arriving as the meeting starts.
Guests also get no reminders while guest emails are paused for your account. The dashboard explains why when that happens. A connected Google Calendar does not change this: Meeto still sends the invitations and reminders itself (see the Google Calendar integration for what a connected calendar does).
Frequently asked questions
Do meeting reminders cost extra?
No. Reminder emails to guests are available on every plan, including Free. They go only to guests the meeting already invited, and they do not use up the Free plan's monthly allowance of guest emails.
Can a guest stop the reminders?
Yes. Every reminder email has a Stop reminders for this series link (Stop reminders for this meeting for a one-off meeting). The guest stays invited and keeps the meeting in their calendar; only the reminders stop. They can turn them back on from the same page.
Will a guest who declined still get reminders?
No. A guest who answered Can't make it gets no reminder. Meeto also skips a reminder when the date was cancelled or moved, when the guest was removed from the meeting, or when the guest received an invitation or update in the two hours before it.
What time does the reminder show?
The email gives the time in the organizer's time zone and says so, with the note that the guest's calendar shows their own. The invitation the guest added to their calendar already converts the time to their zone.
Can I send a text message or chat reminder?
Meeto sends reminders by email to guests, and by browser or app notification and email to you. It does not send SMS reminders. For Slack or Telegram, share the meeting link in the chat yourself.
