Coaches and therapists
Video sessions for coaches and therapists, from booking to follow-up
Coaches, counsellors and therapists can publish a booking page, let each client choose a time and meet in a browser room that only that booking uses. Knock entry lets you admit the client yourself, and a reminder goes out an hour before. Set honest expectations: calls are encrypted in transit, not end to end, and Meeto makes no HIPAA claim.
How does a session flow in Meeto?
A client books a slot on your page, receives a confirmation with a link that belongs to that booking alone, and joins you in the browser at the agreed time.
- Publish a session type. Name it after what the client gets, such as “50-minute coaching session” or “20-minute introductory call”. Free includes 1 meeting type; Pro allows up to 50, so an intro call and a full session can sit on one page.
- Ask only what you need. The booking form can collect a few answers before the call. Keep it to logistics and goals; do not ask for health details in a booking form, and keep intake paperwork in the system your practice already uses.
- Protect the time around sessions. Set working hours, a buffer after each session for notes, a minimum notice period, a daily limit and time off. Connect a Google or Apple calendar so personal events block your availability.
- Let the client confirm and prepare. The confirmation carries the session link, add-to-calendar options and links to reschedule or cancel without writing to you. Times show in the client's own time zone.
- Remind them once. When the meeting type's reminder is on, you and the client get one email an hour before. A session booked less than two hours ahead gets none, because the confirmation has just arrived.
- Admit the client yourself. Open the room a few minutes early and switch entry to knock in the participants panel. Anyone else who has the link waits until you let them in, and you can lock entry once the session starts.
The scheduling guide walks through availability and calendar connection step by step.
How do you handle a client you see every week?
Schedule a recurring series for that client instead of asking them to book each week. Bookings from the booking page do not repeat; recurring meetings do.
One series per client
Create a meeting with a weekly or every-two-weeks rule, set how many sessions it runs, and invite the client by email. Every session uses the same link.
Reminders the client controls
Pick up to two reminder emails per session: 1 day, 1 hour or 15 minutes before. The client can stop them in one click and stays invited.
Holidays without rebooking
Move or cancel a single date from the series panel. The client gets a cancellation for that date only, and the rest of the series stays as it was.
Use a neutral meeting title such as “Session with Anna”. The title appears in invitations, reminders and calendars, which other people may see on a shared screen or a lock screen.
What can you honestly tell clients about privacy?
Tell clients what the product does and does not do, in plain words. The table below lists what is true today.
| Topic | What Meeto does |
|---|---|
| Encryption | WebRTC (DTLS-SRTP) encryption in transit. Calls run through Meeto's media servers and are not end-to-end encrypted. |
| Who can enter | Open, knock or password entry; lock entry; a removed person cannot rejoin that meeting |
| Chat | In-call chat is deleted when the meeting ends |
| Recording and AI summary | Off unless a Pro host starts it; everyone in the call sees a banner and an indicator. Recordings are kept 90 days; transcripts and summaries until deleted |
| AI training | Meeting content is not used to train AI models |
| Healthcare compliance | No HIPAA or other healthcare-compliance claim |
Do not record sessions by default. If a client asks for a recording or a written summary, agree on it before you start, choose “Only me” or “Everyone in the call” as the recipient, and delete the files you no longer need from your recordings. The recording page explains capture, files and retention.
Who this is not for
Meeto suits independent coaches and small practices that need a simple path from booking to a browser session. Choose a different tool if you need:
- a platform your rules require for health data, such as one covered by a HIPAA business associate agreement;
- end-to-end encryption;
- clinical records, insurance billing or payment at the time of booking. Meeto does not take payment at booking;
- group sessions with more than 25 participants, or phone dial-in for clients without internet access.
For advisory work that is not therapy or coaching, the consultants workflow is a closer fit. Plan limits are on the pricing page.
Frequently asked questions
Is Meeto HIPAA compliant?
Meeto makes no HIPAA or other healthcare-compliance claim. If your work is covered by health-privacy rules, check with whoever advises your practice before choosing any video tool, and do not use Meeto where those rules require a platform that is certified or contractually covered for health data.
Does a client need an account or an app for a session?
No. A client books on your page and joins from the confirmation link in a current desktop or mobile browser. They may be asked to allow the camera and microphone the first time. Apps for iPhone and Android exist but are optional.
Can I hide my home office during a session?
Yes, on the web: background blur, built-in scenes or up to five images of your own. The iPhone app offers blur only, and the Android app has no background effects, so use the browser on a computer if this matters to you.
What happens when a client misses a booked session?
If you joined and the client did not, Meeto can email them a short note with a “Pick another time” button that moves the same booking. The follow-up is a setting of the meeting type and is on by default; switch it off if you handle missed sessions yourself.
