Client review meetings for financial advisors, with recording everyone can see

Financial advisors can let clients book a review, meet in a browser and walk through a plan on a shared screen. On Pro, a recording or AI summary starts only when the advisor starts it; every participant sees a banner and an indicator, and the advisor chooses who receives it. Media is kept 90 days and transcripts until deleted. Meeto is not a regulatory archive.

How does a client review run in Meeto?

A client books the review on your page or accepts a scheduled series, joins in the browser and goes through the plan with you on a shared screen.

  1. Publish the meetings you offer. For example a 20-minute introductory call and a 60-minute annual review. Free includes 1 meeting type; Pro up to 50.
  2. Collect topics, not account data. A booking-form question such as “What would you like to cover?” helps you prepare. Do not ask for account numbers, ID documents or tax IDs in the form or in chat.
  3. Put regular reviews on a schedule. A quarterly review is a recurring series “every 3 months”, with a reminder email 1 day before. Clients can stop the reminders in one click and stay invited.
  4. Admit only the expected people. Switch the room to knock entry and let each person in; lock entry once everyone is there.
  5. Present the plan. Share a projection or a portfolio summary and circle the figures you are discussing. Close other clients' files first and share a single window if the rest of your screen is busy.
  6. Agree on the next steps before you hang up. Repeat the decisions and who does what, then send them in writing.

Calls are encrypted in transit and pass through Meeto's media servers; they are not end-to-end encrypted. See the security overview for the details your compliance team will ask about.

How do recording and consent work?

Only a Pro or Team host can start a recording, and Meeto tells every participant as soon as it starts. Getting consent is still your job: ask out loud first, and follow the consent rules where you and your client are.

Recording facts for client meetings
QuestionAnswer
Who can start itA Pro or Team host; Free hosts cannot record
What participants seeA banner naming who started it, a recording indicator for the rest of the call, and a notice for anyone who joins later
Who receives itThe host chooses: “Only me” or “Everyone in the call”
What is capturedA video file and a separate audio file; starting a recording also starts the AI summary. The AI summary alone captures no video
How long it runsUp to 4 hours, extendable by 4 hours; it stops if no one speaks for 20 minutes
How long it is keptVideo and audio 90 days; transcript and summary until you delete them

A practical habit: at the start of the call, say that you would like to record and why, wait for a clear yes, then start the recording and ask the client to confirm once more, so the consent itself is on the recording. The privacy guide covers recording, AI recaps and shared links in more depth.

Can Meeto serve as your firm's record of client communications?

No. Meeto keeps recordings for a fixed 90 days and lets the host delete them at any time; it is not built for regulated record-keeping.

Meeto has no legal hold, no write-once storage, no supervisory review queue and no built-in connection to compliance archiving systems. If your firm must keep client communications, download the files after each meeting into the archive your firm has approved, and keep the summary there too. A share link to a summary can be switched off at any time, so do not treat it as the stored copy.

The AI summary lists decisions and action items with the transcript underneath, and exports as Markdown, plain text or a PDF summary sheet. Check it against the transcript before you file or send it: an AI summary can miss a nuance or attribute a statement to the wrong person. More on the AI summary page.

Who this is not for

Meeto fits independent advisors and small firms that want a simple client path and visible recording. Choose another tool if you need:

  • automatic capture of every call into a compliance archive, or retention you can set yourself;
  • end-to-end encryption;
  • SSO or SAML sign-in for advisors;
  • payment at booking, which Meeto does not take;
  • client seminars for more than 25 people, or webinars.

Plan prices and limits are on the pricing page.

Frequently asked questions

Can a client decline to be recorded?

Yes. Nothing is recorded unless the host starts it, so if a client says no, do not start the recording. Meeto has no per-person opt-out inside a recorded call: if one participant declines, leave recording and AI summary off for that meeting.

Can I download a recording to keep it longer?

Yes. The recording is a video file plus a separate audio file, and you can download both. Meeto deletes the media after 90 days, so move anything your firm must keep into its own approved storage before then.

Does Meeto use client conversations to train AI?

No. Meeting content is not used to train AI models. Audio is processed to produce the transcript and summary only when the host turns the AI summary on.

Can a couple join a review from two places?

Yes. Invite both people; each joins from their own browser or phone without an account. Free meetings allow up to 10 participants and Pro up to 25.
