Round-robin scheduling
What is round-robin scheduling?
Round-robin scheduling is a team booking method in which one shared link offers the combined availability of several people and assigns each new meeting to one of them in rotation. The guest sees one page and one set of times; behind it, the tool checks who is free and decides which teammate takes each booking.
How does round-robin scheduling work?
A round-robin link has a pool of hosts. When a guest opens it, the tool combines everyone's availability: a time appears if at least one person in the pool is free then, according to their own working hours and calendar. The guest picks a time without knowing who will take it.
At the moment of booking, the tool applies its assignment rule to the people free at that time and books one of them. Only that person's calendar is blocked; the others stay available for the next guest.
| Rule | How it picks |
|---|---|
| Strict rotation | Goes around the list in a fixed order, skipping anyone who is busy. |
| Least recently booked | Picks the free person whose last booking is the oldest, which evens out the load over time. |
| Priority | Prefers certain people and falls back to others when they are busy. |
Why does round-robin scheduling matter?
For inbound meetings such as sales demos, onboarding calls or support sessions, speed matters more than who answers. One link with the whole team's hours offers guests more times, including across time zones, and the rotation spreads the work fairly without anyone assigning meetings by hand.
It suits work where any trained teammate can help. It is a poor fit when continuity matters, such as a client who should always meet the same advisor; for that, give the guest a personal booking page.
How does round robin work in Meeto?
Round-robin links are part of the Team plan, $11.99 per seat a month or $119 a year. In the Team section of the dashboard, create a round-robin meeting type: everyone currently active joins the rotation, and you add or remove teammates with a tap. Meeto generates one link of the form meeto.me/t/…, created once and never changed, so it is safe to put on a website.
Guests see the combined availability of everyone in rotation, and the least recently booked teammate who is free at the chosen time takes the meeting. Each teammate keeps their own hours in Availability, and a booking blocks only their slot. Every booking comes with a Meeto video room that the guest joins from the browser, and the links go live after the team's first payment. See pricing for what else Team adds, such as workspace webhooks.
Frequently asked questions
Can a guest pick a specific person on a round-robin link?
No. The link decides who takes the meeting. If a guest should meet one particular person, share that person's own booking page instead, such as meeto.me/their-name.
What happens when only one teammate is free at the chosen time?
That teammate takes the meeting. The rotation only chooses among the people who are actually free at that moment, so a guest is never booked with someone who is busy.
Is round robin the same as collective scheduling?
No. Round robin needs one free teammate and books one of them. Collective scheduling, used for panel interviews, shows only the times when every chosen person is free and books all of them together. Meeto's team links use round robin.
