A customer support room checklist for a focused fix

Use a predictable checklist when a written ticket needs a live look. Collect safe context, reproduce the issue together and leave the customer with an owner and next step.

Before the support call

  1. State the desired result. Write what “fixed” means for this call: reproduce the error, identify a workaround or decide that an engineering investigation is needed.
  2. Collect safe context. Ask for the product area, visible error, approximate time, browser and device. Request a redacted screenshot only when it cannot expose personal or secret data.
  3. Prepare the joining path. Send the Meeto link, expected duration and a note that the customer can join in a browser. Tell them which device they should have available.
  4. Choose an owner. Decide who will write the outcome and who will send the next update.

During the room, reproduce before guessing

Confirm the symptom

Ask the customer to show the exact state they see. Repeat the symptom in plain language before changing anything.

Change one thing

Try one safe step at a time and record the result. This keeps a workaround from hiding the original cause.

Protect the customer

Ask them to hide passwords, payment details, private messages and unrelated personal information before sharing a screen.

If the call itself has a device problem, follow the camera and microphone guide. A customer should never need to reveal an account password to test camera, microphone or network access.

Close the room with a safe next step

  1. Summarise the finding. Say what was reproduced, what changed and what remains unknown.
  2. Choose the next action. Give one owner, one deliverable and one date for the next update.
  3. Share a short written recap. Include only the details needed to continue the case. Do not paste the room token or an unrestricted recording link into a public ticket.
  4. End access when appropriate. Close the meeting and review any shared material under your organisation's retention policy.

What should a customer prepare for a support call?

Ask for the goal, the visible symptom, the steps that led to it and the browser or device involved. Never ask a customer to send a password, payment number or private meeting token.
